Privacy Policy
Last updated: October 12, 2026
This Privacy Policy describes how FreshTasks ("we," "our," or "us") handles information when you use the FreshTasks app for iPhone and Mac and this website.
FreshTasks is a personal task list. It has no user accounts, no sign-in, and no server operated by us. Your data stays on your devices and, if you use iCloud, in your own iCloud account.
Privacy at a Glance
- Your tasks stay yours. Task data is stored on your device and synced through your private iCloud database. We cannot read it.
- Audio never leaves your device. Speech is transcribed on-device by Apple's speech recognition; no recording is stored or uploaded.
- AI interpretation is on-device where possible. On devices without Apple Intelligence, the text of what you said or typed is sent to OpenAI to be turned into task operations — text only, never audio.
- No analytics, no ads, no tracking, and we do not sell or share your data. We collect no identifiers, usage data, or diagnostics.
1. Information the App Stores
FreshTasks stores the tasks you create — their titles, lifecycle state (unstarted, started, completed), timestamps, ordering, and any "Not today" deferral — together with a small set of app preferences (such as display and appearance choices).
This data is kept in a local database on your device. When you are signed into iCloud, it is also synced to the private database of your own iCloud account (Apple's CloudKit service) so your list follows you between your iPhone and your Mac. That database belongs to your Apple account; it is not accessible to us. If you are not signed into iCloud, FreshTasks simply keeps everything locally on the device.
The app collects no name, email address, location, contacts, photos, or any other personal information, and this website sets no tracking cookies.
2. Microphone and Speech
Speaking a capture is optional and requires your permission to use the microphone and speech recognition. Transcription happens entirely on your device using Apple's on-device speech recognition — the app explicitly requires on-device recognition, so your audio is never sent to any server, including Apple's. No audio recording is written to disk, stored, or uploaded, on any path. If you decline these permissions, you can type everything instead.
3. Capture Interpretation and AI
When you capture tasks by describing them, FreshTasks uses a language model to turn the transcript into task operations ("create these tasks", "complete that one"). Which model runs depends on your device:
- On-device (preferred). On devices with Apple Intelligence, the transcript is interpreted by Apple's on-device Foundation Models. Nothing about the capture leaves your device.
- OpenAI (fallback). On devices that cannot interpret captures themselves, the text of your capture — the transcript or what you typed, plus, for completions, the titles of your open tasks it might match — is sent to OpenAI's API for interpretation. Audio is never sent. Under OpenAI's API terms, data sent to the API is not used to train their models.
These two paths never mix: if the on-device model is available and fails, the capture is not silently re-sent to OpenAI — you see an error instead.
4. Analytics and Diagnostics
FreshTasks contains no analytics, usage tracking, or third-party crash-reporting SDKs. We receive no telemetry from the app. Apple may offer you the choice to share standard crash data with developers through iOS/macOS system settings; that sharing is governed by Apple and your system preferences, not by anything FreshTasks adds.
5. Third-Party Services
- Apple — iCloud/CloudKit sync of your private database, on-device speech recognition, and on-device Foundation Models. Governed by Apple's own privacy terms and your Apple account settings.
- OpenAI — interpretation of capture text only, as described in section 3, and only on devices using the fallback path.
No other third party receives any data from FreshTasks.
6. Retention and Deletion
Your data lives under your control, on your devices and in your iCloud account. The app automatically clears completed tasks about 30 days after completion. You can delete any task at any time, and deleting the app (and its iCloud data via your device's iCloud settings) removes everything. Because we operate no servers and hold no copy of your data, there is nothing further for us to delete.
7. Your Choices
- Decline microphone/speech permissions and type your captures instead.
- Stay signed out of iCloud to keep your list on a single device only.
- On devices with Apple Intelligence, captures are interpreted on-device and no capture text is sent to OpenAI.
8. No Sale, Advertising, or Tracking
We do not sell or rent any information, we show no advertising, and we do not track you across apps or websites. There is nothing to opt out of.
9. Children
FreshTasks is not directed at children and, as described above, collects no personal information from anyone.
10. Changes to This Policy
If FreshTasks gains capabilities that change how data is handled, we will update this policy and the date at the top before those changes ship.
11. Contact
